Transactional Finance Team Leader

 

Role summary:

 

Process all invoices (head lease and (sub)lease) and settle all payments in due course relating to the validated operational costs and incomes of the properties occupied by Cushman & Wakefield's Global Occupier Services (GOS) clients in order to enable them to prevent any additional funding or penalty costs.    

 

 

Your Responsibilities:


The Transactional Finance Team leader is responsible for ensuring that the Team delivers against their quality and performance targets and delivers an outstanding service to the clients. Ensures that payables and receivables managed on behalf of clients are correctly stated in the appropriate records, are paid on time, invoices and receipts are correctly attributed and recorded.

Drives the Porfolio Service Center and its Portfolio Administration Lease Finance Team to meet defined performance targets in relation to invoice and receipt processing, payment management and all aspects of Payables and Receivables Accounting or any other Lease Finance activity as required.


Service coordination tasks:

  • Service coordination of the Transactional Finance Team
  • Supervising internal and external audits
  • Develops and maintains the team's back up structure
  • Creates and maintains the yearly AP & AR charge raise, payment run, billing & collection calendars


People's management tasks:

  • On boarding of new team members, managing knowledge transfer and on the job training
  • Accountable for maintaining and developing their direct reports' competence, motivation and engagement level
  • Personally accountable for the attrition level in the team
  • People managing team members directly reporting to the employee


Daily and other tasks to deliver:

  • Day to day identification of quality issues and risks and escalation of such issues
  • Establish and maintain professional and effective working relationships with external and internal clients, colleagues and management
  • Ensures that draft and actual charge raising is carried out on time, and invoice volumes awaiting approval or being queried and approval/query resolution times in the P2P system are minimised
  • Manage and drive recurring & non-recurring charges’ payment process on time
  • Obtaining payment approvals
  • Supervising and managing invoice and receipt postings to Property Management & Accounting systems
  • Management of aged creditor and debtor items
  • Query management and account reconciliations
  • Ensures that bank reconciliations are prepared in line with deadlines, that inter account bank transfers are managed same day, and that BACS/SEPA/Credit Transfers are released same day
  • Ensures that cash allocation (tenant receipts and creditor returned payments/refunds) is up to date, and that returned payments, refunds and write off requests awaiting approval are minimised
  • Supports that cash collection (tenant income, creditor debit balance) is maximised
  • Ensures all spreadsheets/tools/reports are kept up to date where appropriate
  • Preparing monthly / quarterly reports & KPI reports (multiple clients)
  • Liaising with client and third-party contacts as appropriate
  • Accountable for supporting and/or managing process-, technology-, service- and client transitioning projects


Your profile:


  • BSC/MSC degree is required, finance/management degree is an advantage
  • 3-5 years relevant work experience is required
  • Service coordination experience is required, finance processing or real estate operation experience in international environment is an advantage
  • 1 year people management experience required preferably in shared services environment
  • Process transitioning experience is an advantage
  • Knowledge of English (written and verbal) at an advanced level is required, knowledge of any other European language is an advantage
  • Excellent IT literacy and advanced knowledge of MS Office
  • Excellent problem-solving and analytical skills
  • Strong leadership skills
  • Ability to effectively prioritize and execute tasks in a high-pressure environment
  • Able to recruit team, role and subgrade best fit team members
